1. Agreement to Terms
By accessing and using Easy Comp Central ("the Platform"), you agree to be bound by these Terms of Service and all applicable laws and regulations. If you do not agree with any of these terms, you are prohibited from using this platform.
2. About Easy Comp Central
Easy Comp Central is a competition management platform for organisers, clubs, coaches, parents, competitors, judges and scrutineers. Our services include:
- Competition discovery, listing and registration
- Club, squad and competitor management
- Scoring, scrutineering and results management, including the EasyComp suite
- Publication of competition results, achievements, leagues and leaderboards
- Payment collection, where an organiser has enabled it
- Communication, notification, analytics and reporting tools
The Platform is operated by Easy Comp Central Ltd, a company registered in England and Wales under company number 17250408, whose registered office is at 203 West Street, Fareham, Hampshire PO16 0EN, United Kingdom. In these Terms, "we", "us" and "our" mean Easy Comp Central Ltd, and "you" means the person or organisation using the Platform.
3. Use Licence
Permission is granted to use Easy Comp Central for personal, non-commercial purposes under the following conditions:
- You must not modify or copy the platform materials
- You must not use the platform for any commercial purpose without authorisation
- You must not attempt to reverse engineer any software on the platform
- You must not remove any copyright or proprietary notations
- You must not transfer the materials to another person or "mirror" on another server
4. User Accounts
4.1 Account Creation
To use certain features, you must create an account. You agree to provide accurate, current, and complete information during registration and to update such information to keep it accurate and current.
4.2 Account Security
You are responsible for maintaining the confidentiality of your account credentials and for all activities under your account. You must notify us immediately of any unauthorized access or security breach.
4.3 Account Types
- Parent Accounts: For managing children's competition entries and club memberships
- Club Admin Accounts: For managing club operations and member registrations
- Organiser Accounts: For managing competitions and viewing registrations
- Judge Accounts: For judges to manage their profile, availability, certifications, and respond to competition judging adverts
- Scrutineer Accounts: For certified scrutineers to manage EasyComp at competitions. A Scrutineer licence is provided free of charge at Easy Comp Central's discretion, subject to verification of certification.
4.4 Accepting These Terms
When you create an account you must confirm that you have read and accept these Terms and our Privacy Policy. We record that acceptance, together with the date, the version of each document you accepted and the language it was shown to you in. You cannot create an account without accepting.
If we make a material change to these Terms or to the Privacy Policy, we will ask you to accept the new version the next time you use the Platform. Until you do, your access will be limited to reading these documents and signing out.
5. User Conduct
You agree not to:
- Use the platform for any illegal purpose
- Violate any laws in your jurisdiction
- Infringe on the rights of others
- Transmit harmful code, viruses, or malware
- Spam, harass, or abuse other users
- Impersonate any person or entity
- Collect user data without consent
- Interfere with platform security or operations
6. Competition Registrations
6.1 Registration Process
Parents and club admins can register competitors for competitions through the platform. Registration confirmation is subject to competition organiser approval and payment completion.
6.2 Cancellations
Cancellation terms are set by individual competitions. Easy Comp Central is not responsible for refunds, but facilitates communication between users and organisers.
7. Charges, Payment and Recovery of Sums Due
Parts of Easy Comp Central are free to use and parts are paid. This section sets out what we charge for, when payment falls due, and what happens if it is not paid.
7.1 Paid Features
The following are chargeable. Prices, inclusions and available plans are those published on the Platform at the time of purchase:
- Full Management: a per-competition upgrade that unlocks online registrations, paid entries and online payment collection. Competitions remain free to list without it.
- Platform fees: a fee applied to entry payments collected through the Platform, shown before the payer confirms.
- EasyComp Organiser Licences: Pay As You Go, 12 Month and 3 Year plans covering the EasyComp software suite.
- Judges Module: an organiser subscription for advertising, reviewing and booking judges; and Judge Pro and Elite subscriptions for judges.
- Achievements: a subscription giving parents and competitors enhanced access to results history, statistics and new-result alerts.
- Scrutineer Licences: licences for certified scrutineers, which renew automatically unless you turn renewal off.
- EasyPad devices and credits: purchased from an authorised Easy Comp Central Agent.
We may add, withdraw or change paid features, and may move a feature between the free and paid tiers, on reasonable notice. Where a change affects something you have already paid for, it will not take effect until the end of the period you have paid for.
7.2 Prices, Fees and Tax
Entry fees are set by competition organisers, not by us. All other charges are set by us and shown before you commit to them. Payments are processed by Stripe; we do not store your full card details.
Card processing fees vary depending on where your card was issued, and non-domestic cards may incur a surcharge, which is shown before you confirm payment. For full details see our Card Processing Fees page.
Prices are quoted inclusive or exclusive of VAT and other applicable taxes as stated at the point of sale. Where tax is chargeable in addition, it will be shown before you confirm. You are responsible for any taxes or duties arising in your own jurisdiction.
7.3 Organiser Payment Obligations
If you are an organiser, you are responsible for all sums arising from your use of the Platform and the EasyComp software, whether the charge arises from a plan you bought, a fee applied to payments we collected on your behalf, or use that falls outside the licence you hold.
Our right to charge
You agree that we may invoice you for, and you will pay, all sums properly due to us. Where we hold a payment method on file for you, you authorise us to charge it for those sums. Invoices are payable within 30 days of the invoice date unless a different period is stated on the invoice.
We monitor and verify competition days and competitor numbers. If you use EasyComp at a competition without a valid Organiser Licence, or outside the terms of the licence tier you hold, you will be liable for an invoice at our standard non-discounted price for each competition day in question. A competition day means each individual day of competition, so a two-day event counts as two competition days. We may audit competition data to verify compliance.
If any sum due to us is unpaid after it falls due, we may do any or all of the following, without prejudice to any other right or remedy:
- Suspend or restrict your access to paid features, including registrations, payment collection and the EasyComp suite
- Suspend or revoke any Organiser Licence you hold, and remove you from the public Organiser Licence Register
- Withhold or set off sums we are holding on your behalf against amounts you owe us
- Decline to process further competitions or payments for you until the account is settled
- Recover the debt, including through a debt collection agency or court proceedings, and recover our reasonable costs of doing so
We may charge interest on overdue sums at the rate and on the terms provided by the Late Payment of Commercial Debts (Interest) Act 1998, where that Act applies. Suspension for non-payment does not relieve you of the obligation to pay, and does not entitle you to a refund or an extension of any plan period.
7.4 Subscriptions and Renewals
Subscriptions renew automatically at the end of each period unless cancelled before the renewal date. You can cancel at any time; cancellation takes effect at the end of the period you have already paid for, and you keep access until then. Free trials, where offered, convert to a paid subscription at the end of the trial unless cancelled first.
We may change subscription prices. Where we do, the new price applies from your next renewal, and we will tell you before that renewal takes place. Continuing without cancelling means you accept the new price.
7.5 Refunds
Refunds of competition entry fees are a matter between you and the organiser. Cancellation and refund terms are set by each competition. We facilitate communication but are not a party to that arrangement, do not hold the money as principal, and are not responsible for an organiser's refusal to refund.
Licences, subscriptions and other products bought directly from us are non-refundable once the period has begun or the licence key has been issued, except where we are at fault or where the law requires otherwise.
Nothing in this section affects your statutory rights as a consumer, including any right to cancel a distance contract within the statutory cooling-off period where that right applies.
7.6 Money We Collect for Organisers
Where an organiser has enabled online payment, we or our payment provider collect entry fees on that organiser's behalf. Those funds belong to the organiser, less our fees and any card processing charges. We are not a bank and do not hold client money on trust. Settlement timing is governed by our payment provider's terms.
8. Competition Results — Ownership and Licence
8.1 What We Mean by Results
In these Terms, "Results Data" means competition results and everything supplied with or derived from them, including competitor and partner names, club and school affiliations, event and category names, placings, marks, scores, recalls, field sizes, round structures, judging data, running orders and timings.
Results Data reaches us in several ways:
- Uploaded or transmitted to us by an organiser, scrutineer or their software, including from EasyComp
- Produced by the Platform itself when scoring is run through it
- Submitted by parents, clubs or competitors recording their own results
8.2 Ownership
Please read this clause carefully
By uploading, submitting or transmitting Results Data to Easy Comp Central, you assign to Easy Comp Central Ltd, with full title guarantee and for the full term of those rights, all copyright, database rights and other intellectual property rights in that Results Data and in every compilation, database, index, aggregation and derived work we create from it. Where any such right cannot be assigned, you grant it to us exclusively instead. Results Data, and the databases we build from it, are our property and we may deal with them as we see fit.
To the extent any right in Results Data is not capable of assignment, you grant us a perpetual, irrevocable, worldwide, royalty-free, transferable and sub-licensable licence to use, store, reproduce, adapt, combine, publish, distribute, display and commercially exploit it, in any medium now known or later devised, without further permission, attribution or payment.
This means we may, among other things:
- Publish results on the Platform, including to parents, competitors, clubs and the public
- Include results in achievements, personal histories and progression tracking
- Include results in any league, leaderboard, ranking or championship operated on or through the Platform
- Combine results from different competitions, organisers and seasons into aggregated datasets
- Produce statistics, analysis, insights and reporting, including for commercial purposes
- Licence or supply results and derived datasets to third parties, including federations, media and other organisers
- Retain results indefinitely as part of the historical record of the sport
We are under no obligation to publish, retain, continue to display or continue to make available any particular Results Data, and may withdraw or restrict it at any time.
8.3 Your Warranties
By uploading or submitting Results Data you warrant that:
- You have the right to supply it to us and to grant the rights set out above
- Doing so does not breach any agreement, confidence, or third-party right
- Where the data includes personal data, you have a lawful basis for supplying it to us and have given the individuals concerned the information data protection law requires
- The data is accurate to the best of your knowledge at the time you supply it
8.4 Personal Data Within Results
Nothing in this section purports to transfer ownership of personal data, which cannot be owned. Personal data contained in Results Data — such as a competitor's name — remains subject to data protection law and to our Privacy Policy, and the rights of the individuals concerned are unaffected by the assignment above. What we own is the compilation, the database and the derived works; how we process the personal data inside them is governed by the Privacy Policy.

8.5 Corrections and Removal
Results are published as supplied. If you believe a result is wrong, contact the organiser of the competition in the first instance — they are the source of the data and can correct it. Organisers can apply corrections through the Platform, and corrections are recorded with an audit trail.
If you have a legal ground for the removal of particular content, or wish to exercise a data protection right, you can submit a content removal request
9. EasyComp Licensing
9.1 Licence Tiers
Three licence tiers are available for organisers: Pay As You Go, 12 Month Plan, and 3 Year Plan. Each paid tier provides full access to all five EasyComp modules (EasyComp, EasyPad, EasyHost, EasyScreen, EasyMarshal). A free tier is available with restrictions, including a maximum of 25 events per competition and limited module access.
9.2 Pay As You Go Licences
Pay As You Go licences are tied to specific competition dates provided at time of purchase. Multiple licences may be purchased at once. Each licence is valid only for the specified date(s) and expires automatically after the competition concludes.
9.3 Licence Verification and Compliance
Competition days and average competitor numbers are monitored and verified. Organisers must hold a valid licence appropriate to their usage. A competition day is defined as each individual day of competition — a 2-day event counts as 2 competition days. Average competitor numbers are calculated per individual competition day, not across the entire event. For example, if a 2-day competition has 400 competitors on day 1 and 300 on day 2, those are counted as separate days with their respective competitor counts. Any organiser found to be using EasyComp at a competition without a valid Organiser Licence, or operating outside the terms of their licence tier, will be liable for an invoice at the standard non-discounted price for each competition day in question. Easy Comp Central reserves the right to audit competition data to verify compliance.
9.4 Organiser Licence Register
A public Organiser Licence Register is maintained for scrutineer verification purposes. Licensed organisers appear on this register with their licence type and validity period.
9.5 Scrutineer Licensing
EasyComp Scrutineer licences are provided free of charge to certified scrutineers. The granting of a Scrutineer licence is at the sole discretion of Easy Comp Central. Applicants must demonstrate that they are a certified scrutineer and Easy Comp Central reserves the right to request evidence of certification and to refuse or revoke a licence at any time without obligation to provide a reason.
9.6 Scrutineer Obligations
Licensed scrutineers are required to verify an organiser's licence status via the Organiser Licence Register (available at /organiser-licence-register) prior to attending and scrutineering a competition. Scrutineers must not use EasyComp at any competition where the organiser does not hold a valid Organiser Licence. Any scrutineer found to not be adhering to this obligation may have their Scrutineer licence revoked.
9.7 EasyPad Devices
The EasyPad electronic judging software is included with the Scrutineer licence. Physical EasyPad devices must be purchased separately from an Easy Comp Central Agent. Only EasyPad devices purchased from an Easy Comp Central Agent are supported and authorised for use with the EasyComp system.
9.8 Volume Discounts
Volume discounts may be applied to Organiser Licences based on the number of competitions run per year. These discounts are applied in addition to plan-based discounts and are calculated at Easy Comp Central's discretion.
10. Scrutineer Licence Auto-Renewal
When you buy a scrutineer licence, automatic renewal is turned on by default so your EasyComp licence never lapses. These terms explain how it works.
- Auto-renewal is on by default. We securely save the card you pay with (via our payment provider, Stripe) and use it to renew your licence automatically. You can turn auto-renewal off at any time from your licences page or from the link in any renewal email.
- We charge your saved card on the day your current licence expires and issue a new licence for the same term. Your new licence key is emailed to you and shown on your licences page. If a payment fails, we email you and try again over the following days before cancelling auto-renewal.
- Renewals are charged at the price shown on your licences page and in the reminder emails we send before each renewal (one month and one week ahead). If the price has changed, those emails will show the new price. Continuing without turning off auto-renewal means you accept the price shown.
- To stop auto-renewing — for example, if you are moving to a new computer — turn off auto-renewal, then use Renew Now with your new computer's serial number when you are ready.
11. Judges Platform
11.1 Judge Profiles and Subscriptions
Judges may create profiles and subscribe to tiered plans (Free, Pro, Elite) to access enhanced features including increased application limits, analytics, and priority placement.
11.2 Organiser Judges Module
Organisers with an active Judges Module subscription can create judge adverts, review applications, and manage judge bookings for their competitions.
11.3 Judge Bookings and Payments
Judge rates and payments are agreed between organisers and judges. Easy Comp Central facilitates the connection but is not a party to the booking arrangement.
12. Leagues, Leaderboards and Rankings
The Platform can operate leagues and leaderboards that aggregate results across competitions and seasons. A league may be run by us, by an organiser, or by a third party using the Platform.
Where a competition's results fall within the scope of a league, those results may be included in that league's standings, and the competitors concerned may appear by name on public league pages, leaderboards and leader displays. This follows from the rights granted in the Results Data section above, and by entering or running a competition covered by a league you accept that inclusion.
League scoring rules, eligibility and standings are determined by the league's configuration. We do not guarantee that any standing is free from error, and we may recalculate a league at any time, including after results are corrected.
13. Parent Achievements
Parents can track their children's competition achievements, results, and progression through the platform. Achievement data is derived from competition results and is displayed for informational purposes.
Some achievements features require a paid subscription. Free access to a competitor's own results is not conditional on subscribing, but enhanced history, statistics and alerts are.
14. Photographs and Images You Upload
The Platform allows profile photographs, competitor photographs, club logos and other images to be uploaded. This section sets out your responsibilities and the limits of ours.
14.1 Your Responsibility
Images of children
Uploading a photograph of a child is a decision for that child's parent or legal guardian, or for a club administrator who has that parent's or guardian's permission. Please think carefully before uploading an image of a child. You are responsible for deciding whether to upload one, and for holding the permissions needed to do so.
Be aware of where images can appear. A profile photograph is not private to your account: depending on the features in use, it may be shown to signed-in club administrators, coaches and organisers, and alongside entries and running orders. It is not displayed on public competition or league pages. Note also that an image's web address will show the image to anyone who has that address, so treat it as you would the image itself.
By uploading an image you warrant that:
- You own the image or have the right to upload and publish it, including any photographer's rights
- You have the consent of every identifiable person in it, and, where that person is a child, the consent of their parent or legal guardian
- The image is appropriate, is not indecent, offensive or unlawful, and does not infringe anyone's rights
- Uploading it does not breach any safeguarding policy, club rule or court order that applies to you or to the person shown
14.2 Images Are Optional
Uploading an image is always optional. No part of the Platform requires a photograph in order to register for, enter or take part in a competition, and choosing not to upload one does not disadvantage a competitor.
You can change or delete an image you have uploaded at any time from your account settings. Deleting it removes it from display and from our image store, although cached copies may persist briefly.
14.3 Our Position
We do not select, commission or vet the images that users upload, and we cannot tell whether an image shows a child or whether the necessary permissions were obtained. To the fullest extent permitted by law, we are not responsible or liable for images uploaded by users, for the consequences of their being displayed within the features the uploader chose to use, or for any claim arising from an uploader's lack of permission. You indemnify us against any such claim arising from an image you upload.
We may, but are not obliged to, review, refuse, remove or replace any image at our discretion and without notice, including where we consider it inappropriate or where a complaint is made. If you are concerned about an image on the Platform, contact us and we will review it promptly.
15. Content and Intellectual Property
15.1 Platform Content
All content on Easy Comp Central, including text, graphics, logos, and software, is the property of Easy Comp Central Ltd or its content suppliers and is protected by copyright and intellectual property laws.
15.2 User Content
You retain ownership of content you upload (photos, profile information, etc.). By uploading content, you grant Easy Comp Central a licence to use, display, and distribute such content as necessary to provide our services.
This clause does not apply to Results Data, which is dealt with separately in the Competition Results section above, nor does it reduce the rights granted there.
15.3 Third-Party Content
We respect the intellectual property rights of others. Competition information displayed on the Platform is used for informational purposes. Any third-party logo or branded content is used only as necessary to identify a competition, club or organiser.
15.4 Infringement and Content Removal
If you believe your intellectual property rights are being infringed on the Platform, we will investigate and respond to valid claims promptly. Please submit a content removal request
16. Accuracy of Information
While we aim to provide accurate information, we do not guarantee the accuracy, completeness or timeliness of competition information on the Platform. Please verify important details — dates, venues, deadlines and fees — directly with the organiser.
Results are published as supplied to us by organisers and their software. We do not verify them, and we are not liable for errors in them or for decisions taken in reliance on them, including selection, qualification, ranking and prize decisions.
17. Privacy and Data Protection
Your privacy is important to us. Please review our Privacy Policy to understand how we collect, use, and protect your personal information. By using Easy Comp Central, you consent to our data practices as described in the Privacy Policy.
We take the security of the data on the Platform seriously, including images and information relating to children. The measures we apply are described in the Privacy Policy. No system can be guaranteed completely secure, and we do not warrant that ours is.
18. Disclaimer of Warranties
The platform is provided "as is" without warranties of any kind, express or implied. Easy Comp Central does not warrant that the platform will be uninterrupted, secure, or error-free. We do not guarantee the accuracy or reliability of any information on the platform.
19. Limitation of Liability
Easy Comp Central shall not be liable for any indirect, incidental, special, consequential, or punitive damages resulting from your use or inability to use the platform. Our total liability shall not exceed the amount you paid to use the platform in the past 12 months.
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be excluded or limited. If you deal with us as a consumer, your statutory rights are unaffected.
20. Indemnification
You agree to indemnify and hold harmless Easy Comp Central, its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including legal fees) arising from your use of the platform or violation of these terms.
21. Termination
We reserve the right to terminate or suspend your account immediately, without notice, for any violation of these Terms. Upon termination, your right to use the platform will cease immediately. You may also terminate your account at any time through your account settings.
Termination does not affect any right or liability that has already accrued. The provisions dealing with Results Data ownership, intellectual property, indemnities, limitation of liability and governing law survive termination, and results already supplied to us remain ours to use as set out above.
22. Changes to Terms
We reserve the right to modify these Terms at any time and without prior notice. It is your responsibility to review these Terms periodically. Your continued use of the Platform following any changes constitutes your acceptance of the revised Terms. Where practicable, we may notify users of material changes via email or platform notification, but this is not guaranteed and the absence of notification does not affect the validity of any changes made.
Where a change is material, we will ask you to accept the revised Terms before you continue to use the Platform, and we will record that acceptance.
23. Governing Law
These Terms shall be governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
24. Severability
If any provision of these Terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary so that these Terms shall otherwise remain in full force and effect.
